Payment & Cancellation Policies
PAYMENT POLICY FOR CONFERENCE ATTENDEES
Conference registrations must be paid in full by 5:00pm on Friday, February 20, 2026. If payment is not made in full by the deadline, admission to the conference will not be granted. Please see our cancellation policies below.

A registration is considered paid in full when the counselor is 1) registered online and 2) has submitted one of the following payment types:
  • credit card payment
  • check
  • purchase order (PO).
The deadline to register is February 20, 2026 at 5:00pm.



HOW TO PAY
  • POs can be uploaded via the registration form or emailed to conference@wvschoolcounselor.org.
  • Credit card payments can be made at the time of registration.
  • If you originally registered to pay by check or PO and want to submit a credit card payment instead, log into our website and click on Your Profile > Registrations > 2026 WVSCA Conference. From there, you can click "Continue" to add a credit card for payment.

CANCELLATION POLICY FOR CONFERENCE ATTENDEES
WVSCA considers a counselor registered when the counselor has registered online, and they have submitted a check, credit card, or PO for payment of their registration.

Cancellations for Credit Card Payments
Cancellations for registrations purchased by credit card are accepted up to 5:00pm on February 20, 2026. The counselor will be refunded the cost of the registration, less a $50.00 cancellation fee.

Cancellations for Purchase Order Payments
Cancellations for registrations with a purchase order are accepted up to 5:00pm on February 20, 2026 as long as the WVSCA has not received a check payment for the purchase order (see check payment cancellation policy below). If payment has not been made by check, the registration will be canceled without penalty. The registrant must notify the WVSCA of the cancelation by emailing conference@wvschoolcounselor.org prior to the deadline. If the cancellation is not received in writing by the deadline, the registrant will be responsible for payment of 100% of the registration fee.

Cancellations for Check Payments
There are no cancellations or refunds for payments made by check. These registrations can be transferred to another name. The transfer request must be made by 5pm on February 20, 2026.


REGISTRATION TRANSFER POLICY
Registrations may be transferred to another individual by contacting conference@wvschoolcounselor.org. Transfers must be requested by 5:00pm on February 20, 2026.


PAYMENT POLICY FOR SPONSORS AND EXHIBITORS

All sponsorships and exhibit tables must be paid in full by 8am on Thursday, February 26. Admission to the conference will not be granted until payment is received. Sponsor and exhibitor registrations made after January 30 must be paid in full at the time of registration (credit card payment only).


CANCELATION POLICY FOR SPONSORS AND EXHIBITORS
There are no cancelations or refunds for any sponsorships, exhibit spaces, or advertisements associated with the conference once the sponsor/exhibitor/advertiser has submitted the registration.
CEUs are available for conference attendees.
